Booking Management

Mục lục

Dashi can handle appointment and reservation requests from customers automatically using information from your knowledge base.

How Booking Works

  1. A customer messages: “Can I book a haircut with Maria on Tuesday at 2pm?”
  2. The AI checks Maria’s availability in your bookable resources.
  3. If available, the AI drafts a confirmation: “Great! I’ve booked you a haircut with Maria on Tuesday at 2pm. See you then!”
  4. You approve (or auto-reply sends it).
  5. The booking is saved and the time slot is marked as taken.

Setting Up Bookable Resources

Bookable resources are the people, rooms, tables, or services that customers can reserve. Dashi auto-detects these from your knowledge base.

Auto-Sync from Knowledge Base

When your KB includes availability info, Dashi creates bookable resources automatically. For example, if your KB contains:

Maria — available Tuesday to Friday, 9am to 5pm Alex — available Monday to Saturday, 10am to 7pm

Dashi creates two bookable resources with those schedules.

Managing Resources

In the dashboard under Bookings, you can:

  • View all bookable resources and their schedules
  • Activate or deactivate resources
  • See upcoming bookings for each resource

Viewing Bookings

  1. Go to Bookings in the navigation menu.
  2. See all upcoming bookings organized by date and resource.
  3. Each booking shows: customer name, time, duration, and resource.

Booking Approval

By default, the AI books appointments directly when asked. If you prefer to review each booking before confirming:

  1. Go to Business Settings.
  2. In the Auto-Reply section, enable Require Booking Approval.
  3. Now the AI will draft the confirmation but wait for your approval before finalizing the booking.

This setting only appears once you have active bookable resources.

Conflict Detection

Dashi automatically prevents double-bookings. If a customer requests a time that’s already taken, the AI suggests the nearest available slot instead.

Tips

  • Keep availability up to date — Update your KB when schedules change. The Business Assistant can help: just say “Maria is off next week.”
  • Include service durations — If a haircut takes 45 minutes and a color treatment takes 2 hours, include that in your KB so the AI blocks the right amount of time.
  • Use temporary notes for one-off changes“Alex is out sick today” as a temporary note keeps the KB clean while informing the AI.
